Reading finances for a single event

The seven event finance sections, what data each holds, and which receipts, tickets and Excel exports you can pull from each.

Event finances give you a closer view of one event, including participant-level detail.

Two ways to get there

  1. On the Finances page in the main menu, select the Events tab, then the Event Dashboard link in red for the event you want.

  2. Or go to My Events in the main menu, hover over the event, and select Event Finance from the Action dropdown.

How the page works

The page is divided into seven sections: Transactions, Entries, Merchandise, Donations, Chargebacks, Refunds and Instalments. Each shows the most recent data at the top, and you can sort by any other column. Each section has a Search tool in its top right corner for finding a specific participant quickly.

Transactions. Every transaction coming into your account for this event, with transaction date, transaction ID, purchaser name, number of items purchased and value. Select Receipt in the Action column to download a receipt. Use Export transaction history in red at the bottom right for the full Excel export.

Entries. Every race entry, with entry date, racer name, purchase type, sub-event, ticket value and team name where relevant. The Action column offers Receipt for the receipt and Ticket for the ticket itself. Use Export ticket history for the Excel export.

Merchandise. All merchandise sales grouped by item, with date ticketed, the racer who bought it, their email address, quantity and value. Receipt and Ticket are both available in the Action column. Each item's breakdown has its own Export link in red at the bottom right, so you export one item's sales at a time.

Donations. All charity donations, with charity name, date, the racer who donated, net and gross donation, whether gift aid was included, and the address linked to the donation. Receipt is available in the Action column, and Export donation history gives you the Excel file.

Chargebacks. All chargebacks for the event, with date reversed, the original purchaser, the chargeback reason, the related transaction ID and the value. Use Export chargebacks history for the Excel export.

Refunds. All refunds, with refund date, refund ID, the original purchaser, refund reason, related transaction ID and value. Receipt is available in the Action column, and Export refunds history gives you the Excel file.

Instalments. All instalment plans for the event, showing the racer, the event, when the plan was purchased, instalments remaining, paid and outstanding, the next payment date where applicable, and the plan status. Select Remove in the Action column to cancel a participant's plan and stop any future instalments being taken.
