Waves are sorted by an algorithm based on wave preference and wave capacity, with manual tools for moving individuals or teams between waves.
You must have set up the Waves section when creating your event, in Step 2, for this tool to do anything.
When to run it
Activate the algorithm a week or two before your event, so participants know when to arrive.
Getting there
Go to My Events in the main menu, hover over the event, and select Manage Waves from the Action dropdown.
The wave tabs
The left-hand column shows your wave tabs in green, as set up when you created the event, with capacity, meaning the maximum number of racers, and racers, meaning how many are currently in it. The central section lists the participants allocated to the selected wave, with name, email and preferred wave.
The first tab, Flexible, holds participants who said they have no wave preference and are happy to race at any time.
Above the list you will see total entries, individual entries, total teams, team entries and estimated entries for that wave.

Switch the list between Show Individuals and Show Teams using the checkbox in the top corner of the sub-event tab.
To move someone manually, tick the checkbox to the left of their name, then select the green arrow icon in the top right of the wave tabs.
To pin someone where they are, select the lock symbol to the right of their name in the list.
Running the algorithm
Wave Controls activates the Race Space Wave Algorithm, which reassigns participants to their preferred wave, or as close to it as possible, while making sure no wave exceeds its maximum capacity.
Tick Do not override manual changes if you want your manual moves to survive the algorithm. If you have spent time placing people by hand, tick this.
Select Activate Algorithm. A confirmation panel opens.
The top of the panel shows a per-wave breakdown: maximum capacity, racers before the algorithm, racers moved out, racers moved in, and racers after.
Below that, the Flexible participants and teams are listed so you can place them by hand. Or use the Bulk move todropdown in the bottom left to send all Flexible entries to one wave.
Select the green Update button in the bottom right to apply it.
If you are not happy with the result, Reverse Changes returns everything to how it was before you ran the algorithm.
Telling participants which wave they are in
Once you are happy with the allocations, use the Wave Notification Email section to email participants their wave. You can customise the content, preview it, and send it.
