Cancelling your event, a sub-event or specific waves

What to do when you have to cancel all or part of your event, how refunds work in that case, and what to communicate to participants.

Sometimes weather, permits or safety force you to cancel all or part of an event. Race Space does not have a single cancel button that refunds everyone. You decide what to offer, and refunds are processed individually.

Your options

  • Full or partial refund of the ticket value. Fees and booking protection are non-refundable (see "What happens to fees and booking protection when I refund or cancel?").

  • Transfer credit towards a future event. The participant keeps value with you and you keep the revenue.

  • Move participants to another wave or sub-event, where capacity allows.

Note: There is currently no bulk refund option. Each refund has to be processed one by one. For large groups, export the list of affected participants first so you can work through it systematically.

Steps

  1. Stop new sales for the affected part. Set the sub-event capacity to 0, or move the Entries Close Date into the past if you are cancelling the whole event.

  2. Export the affected participants: Participants → ⋮ → Quick Export, filtered by sub-event or wave.

  3. Send a notification to the affected sub-event explaining what happened and what you are offering: Event Dashboard → Notifications.

  4. Process refunds or credits for each participant.

  5. Make sure Your Funds has enough balance, or add a card under Pay-In Information, before you start.

Example: Four afternoon waves (1pm to 4pm) are cancelled because of a severe weather forecast. The organiser exports the participants in those waves, emails them via Notifications, and refunds each ticket at Max Refund.
